1. Introduction
This Privacy Policy describes how the "Install America: Online" Chrome extension (also known as "LeadPerfected"), developed and operated by MediaMinded LLC on behalf of Install America, collects, uses, and protects information. This extension is an internal business tool designed for authorized Install America employees and contractors.
2. Information We Collect
The extension interacts with the following categories of data in the course of normal business operations:
- CRM Lead Data: Names, phone numbers, email addresses, and mailing addresses of prospective customers, as entered into or retrieved from the LeadPerfection CRM system.
- Appointment Information: Scheduled appointment dates, times, and associated project details.
- Communication Records: Messages sent and received through the Hatch messaging platform in the course of business communications with leads.
- User Authentication: Employee login credentials (username and password) used to authenticate with the LeadPerfection CRM. These credentials are stored locally on the user's machine and are not transmitted to any third party.
Important: This extension does not collect personal browsing history, search queries, or any data unrelated to Install America's CRM workflows. The extension only activates on specific business domains (LeadPerfection, Hatch).
3. How We Use Information
Data processed by the extension is used solely for Install America's legitimate business purposes:
- Managing and following up with sales leads
- Scheduling and tracking appointments
- Sending authorized business communications to leads via Hatch
- Generating AI-assisted message drafts for agent review before sending
- Synchronizing lead data between CRM systems
4. Third-Party Services
The extension communicates with the following services, all under Install America's business accounts:
- LeadPerfection (leadperfection.com) — CRM system for lead and appointment management
- Hatch (usehatchapp.com) — Business messaging platform for lead communications
- LeadPerfected API (leadperfected.com) — Our backend server for data synchronization, AI message generation, and call management
- Vapi (vapi.ai) — AI voice calling service, used for automated appointment confirmation calls
All third-party communications are made through our secure backend server. No API keys or credentials are stored in the extension itself.
5. Data Storage and Security
- User credentials are stored locally on each employee's machine in encrypted local storage.
- Authentication tokens (JWT) are stored in browser local storage and expire after 24 hours.
- All data transmission between the extension and our servers uses HTTPS encryption.
- The backend server is hosted on Google Cloud Platform with firewall rules restricting access.
- Server access is limited to authorized personnel via SSH with Identity-Aware Proxy (IAP).
6. Data Sharing
We do not sell, rent, or share personal data with any third parties outside of the business services listed above, which are all used under Install America's business accounts for legitimate business operations.
7. Data Retention
Lead and appointment data is retained in accordance with Install America's business records retention policy. Communication logs are retained for quality assurance and compliance purposes. Users may request deletion of their authentication credentials at any time by uninstalling the extension, which removes all locally stored data.
8. User Rights
Authorized users of this extension may:
- Request information about what data the extension processes
- Request deletion of their locally stored credentials by uninstalling the extension
- Contact the administrator to have their account deactivated
9. Permissions Justification
The extension requests the following Chrome permissions:
- activeTab: To interact with CRM and messaging pages the user has open
- storage: To store user preferences and authentication tokens locally
- nativeMessaging: To communicate with a local helper application that runs automation scripts
- Host permissions (leadperfection.com, usehatchapp.com): To read and interact with CRM and messaging platform pages
10. Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last Updated" date. Continued use of the extension after changes constitutes acceptance of the revised policy.
